JOB TITLE: Tennis/Pickleball Coordinator FLSA Status: Exempt
General Statement of Duties: Performs a variety of duties associated with the operation and management of the HRCA tennis/pickleball programs at the Tennis Pavilion and all off-site locations. This position is responsible for ensuring that assigned tennis/pickleball programs and leagues are supervised in HRCA and outside facilities according to organizational policies and procedures. This position works with sports and fitness team members as well as community providers. Oversee customer service function for the tennis/pickleball programs and take an active role in the hiring of Tennis/Pickleball Monitors. Develops, implements, and monitors the work schedule and training for Tennis/Pickleball Monitors. Provides direct service as part of the Tennis/Pickleball Monitor Team service team in the Tennis Pavilion. Completes administrative duties related to tennis/pickleball programming including leagues, tournaments, socials, special events, and program promotions.
Supervision Received: Works under the supervision of the Tennis/Pickleball Programs Supervisor.
Supervision Exercised: Responsible for the supervision of the Tennis/Pickleball Monitors at the Northridge Tennis Pavilion.
JOB DESCRIPTION:

Develops the work schedule for Tennis/Pickleball Monitors to ensure consistency and continuity of service to tennis customers.
Develops and maintains online court reservations for all facilities to ensure continuity of court availability for programs and lessons and league match requirements.
Takes an active role in ensuring that financially sound practices are followed in developing schedules and implementing the customer service model. Ensure that the Tennis/Pickleball Monitors oversee accurately the collection of fees associated with day-to-day programming and court reservations.
Is the lead administrator for the Pickleball Leagues which includes keeping track of reported scores from teams, organizing the end-of-season tournaments, and any communications thereof to participants.
Processes refunds and transfers for all tennis and pickleball programs.
Takes an active role in the recruitment and hiring of the Tennis/Pickleball Monitors. Trains supervises and evaluates Tennis/Pickleball Monitor staff. Monitors payroll for assigned staff.
Is responsible for writing all Monitor evaluations.
Defines, develops, and implements customer service objectives within the scope of HRCA mission and values.
Consult with the Tennis/Pickleball Programs Supervisor, Head Tennis/Pickleball Professional, Facility Supervisors, and other appropriate staff for ideas and suggestions for providing service excellence to members and guests. Ensures that the customer service model enhances positive communication and support for all customers, both internal and external.
Implements USTA/CTA tennis league registration, scheduling and supervision in line with HRCA mission and values, the governing documents of the HRCA and recreation program guidelines.
Ensures that programs and procedures comply with ongoing evaluation of program areas and service delivery.
Consult with appropriate staff, advisory groups, and public resources for ideas and suggestions.
Coordinates tennis/pickleball session program (every 6/7 weeks) enrollment numbers for Coach meetings.
Coordinates Tennis/Pickleball Monitors meetings as needed.
Ensures policies and procedures for Tennis/Pickleball Monitors function in the tennis area are coordinated and monitored in compliance with the governing documents of the HRCA and recreation program guidelines.
Teams with the Tennis/Pickleball Programs Supervisor to ensure that tennis/pickleball desk functions are aligned with HRCA registration desk functions.
Supervises and coordinates In-House, USTA, and Junior Team Leagues. Will assume league supervision responsibility for tennis/pickleball leagues, programs, and camps, as needed, in the absence of the Tennis/Pickleball Programs Supervisor.
Supervises and evaluates staff within the assigned program area; develops job standards and expectations for part-time employees.
Ensures that financial guidelines are met for assigned revenue and expense lines in the tennis program. Embraces and supports the operating principles of HRCA recreation programs to meet budget goals by covering direct costs as well as an indirect overhead allocation.
Monitors program budget information regarding assigned areas.
Promotes/markets programs by developing written information for the monthly HRCA newsletter, every 4-month Activity Guides, monitoring the tennis/pickleball website, and preparing bulletin boards, program flyers, and other promotion materials.
Oversee the Tennis/Pickleball content of the Activity Guide.
Completes payroll for assigned staff according to set procedures.
Completes administrative duties associated with organizing tennis leagues, tournaments, social events, and tennis programming.
Performs related duties as assigned and required.
Physical and Environmental Standards: Will be working in both indoor and outdoor environments. Indoor work is in a busy office where noise and interruptions prevail. Outdoor work can be performed in different types of conditions including, but not limited to heat, sun, humidity, wind, cold, rain, ice and snow. Must be able to frequently sit and occasionally walk, stand, climb, bend, kneel, stoop, reach and lift, push or pull. Manual dexterity is needed to type, write, use a calculator, and answer the phone. The ability to talk and hear via the telephone and through face-to-face communication is needed. Vision requirements include near and far acuity. Upper body strength is a requisite to lift/move a maximum of 40 pounds unassisted and 60 pounds with assistance. Multitasking, meeting deadlines, and the ability to both accept and provide direction are required.
Requirements
QUALIFICATIONS:
Required Knowledge, Skills & Abilities: Knowledge of tennis/pickleball and tennis/pickleball programs for individuals of all ages/abilities, and experience in a variety of tennis/pickleball programs. A willingness to learn tennis/pickleball programs and tournament management software. Customer service knowledge and experience. Ability to organize, manage and perform multiple tasks. Computer literate. Ability to effectively communicate, both verbally and in written form, with internal and external customers. Demonstrate the ability to lead a staff and communicate to that staff of approximately 15 people using different modalities.. Has the skill sets to create monthly work schedules using the When2Work software program. Has the ability to work flexible hours and days includes day, evening, weekend and holiday work.
Must possess a valid driver’s license, a clean motor vehicle record, and meet all HRCA driving policy standards, including pre-approval to drive from the HRCA insurance carrier. Strong situational awareness and adherence to safe driving practices are essential to ensure personal and public safety while working within a vehicle.
Must pass a pre-employment background check and drug screening.

Education: Bachelor’s degree in a related field from an accredited college or university is preferred.
Experience: Two (2) years’ experience in a related field. Supervisory experience preferred, or any equivalent combination of training and experience that provides evidence the applicant possesses the required knowledge, skills and abilities.
